Check ins
The inspection record automatically feeds into the Leads section within Complete Data and then links that inspection against the contact record if the contact is already in Complete Data. If the contact record is not in Complete Data it will also create the contact record.
When the lead comes into Complete Data it will match against the mobile number to see if the contact is already in Complete Data as this is a unique number.
Complete Data's system is customisable to each agency. They can opt to change the program to run in a way that suits them. This is dependant on how they are created in Homepass and the setup an agency has opted for within CD.
Some agencies choose to have all Options created as a Contact, others have Homepass Check-Ins stay as enquiries and Buyer and contacts created into contacts. Most agencies elect to have the system set up all Options as Contacts.
Contact Ownership
The Agent that checked them in is assigned to the Lead record. This is not necessarily the listing agent of the property. If the contact record is already in Complete Data then the ID of the Contact record does not change β the lead is just added against the contact record. Note the Leads and Contacts database are 2 separate databases. The contact record has an ID field and the Leads record also has an ID field. Behind a contact record, there could be multiple leads/inspections ie. Michael Smith could have inspected many properties and the agent that checked him into each of those properties would be the ID against the lead record.
If the contact record is already in Complete Data then the ID of the Contact record does not change β the lead is just added against the contact record.
Inspection Notes
Inspection notes sync to Complete Data into the Notes section. The vendor report does not show notes regardless of the visible-to-vendor toggle being on or off.
Contact notes
Customer notes sync and agents have the ability to make them public or private. Our system is set up so that offices can choose to limit the vision of contacts if they prefer.
