How Zapier works
Zapier is a tool that allows you to connect apps you use every day to automate tasks and save time. You can connect any of their 1,000+ integrated apps together to make your own automations. It's quick and easy to set up - you don't need to be a developer!
You can configure Zapier to....
- Automatically send new contacts to a CRM, like Salesforce.
- Save new contacts to Google Contacts, so you get Caller ID.
- Add new contacts to a Mailchimp list, so they automatically receive your newsletters.
- Automatically send contacts an SMS a day after they've been checked in.
- And much more!
To get started, you'll first need to enable the Zapier integration in Homepass. This confirms that you'll allow Zapier to access your Homepass data.
Enabling Zapier in Homepass
In Homepass, head to Team Settings then Integrations. Here, select Add Integration, then Zapier. You must be an account administrator to add an integration.
Once you've added your Zapier integration, you'll be able to view an API Key and Team Name. Tap the fields to copy them. These details will be used by Zapier to access your data, so keep them private.
Connect Zapier to Homepass
Next, we need to tell Zapier how to access your Homepass data.

On the Home screen, select Connected Accounts.
Search for Homepass under Connected Accounts. If you can't find Homepass in the list, you'll need to make sure you've used this link to get access.
Zapier will then ask you to provide your API Key and Team Name. Submit them, then you're done! Zapier and Homepass will now have the appropriate permissions to send/receive data.
Making a Zap
Now, you can start to create automations – called Zaps. Zaps contain triggers and actions. Some popular zaps are:
- When a contact is checked in to Homepass (trigger) create a lead in Salesforce (action).
- When a contact is checked in to Homepass (trigger) save that contact to Google Contacts (action).
- When a contact is edited in Homepass (trigger) update that contact's data in a Google Spreadsheet (action).
We'll demonstrate how to use Zapier to create a Lead in Salesforce every time you check in a Homepass contact. You can follow these steps to create any Zap you want.
In Zapier, select Make a Zap, and choose Homepass as your Trigger App. Select a Trigger (for this example, we'll use Contact Checked In).
Select the Homepass account you'd like to use, and Save + Continue. Zapier will ask you to check in a contact in Homepass to test that the data is flowing through correctly.
Next, you'll add an Action. Select Add a Step on the left of your screen, then select Action/Search.
Because we want to create leads in Salesforce, we'll select Salesforce as our Action App, and Create Lead as our Action.
Select the Salesforce account you'd like to use (or connect a new one), and again, Save + Continue. Zapier will run another test to ensure data has flowed through correctly.
Next, you'll need to map Salesforce fields to Homepass fields. This is essentially telling Salesforce how it should store your Homepass data. Generally, you'll just match fields e.g. match the Last Name Salesforce field to the Contact Last Name Homepass field.
You can also manually add text to these fields, and combine fields. For example, you might add "<Contact First Name> checked in to <Place> via Homepass" as an internal note.
When you're ready, continue. Salesforce will test the integration again, and then ask you to name and enable the Zap. Then you're done!
Zapier gives you additional control with Helper Steps. These allow you to filter or modify the data coming from Homepass, before it goes to your Action App. You can use helper steps to do things like:
- Add a filter e.g. ignore check ins to a certain property.
- Add a delay e.g. wait 24 hours before sending data.
- Format your data e.g. add proper capitalisation to your contact's name.
